Quincy Ventures, LLC ("Quincy Ventures," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the Quincy Ventures Merchant Portal and related services (the "Services").
By using the Services, you consent to the data practices described in this Privacy Policy. If you do not agree with the practices described here, please do not use the Services.

3. How We Use Your Information
We use the information we collect for the following purposes:
- Service Delivery: To process your merchant enrollment, set up your account, and provide payment processing services.
- Identity Verification: To verify your identity and comply with Know Your Customer (KYC) and anti-money laundering (AML) requirements.
- Account Management: To manage your account, process transactions, and provide customer support.
- Security: To detect, prevent, and respond to fraud, unauthorized access, and other security incidents.
- Communications: To send verification codes, account notifications, service updates, and marketing communications (with your consent).
- Compliance: To comply with applicable laws, regulations, and card network rules.
- Improvement: To analyze usage patterns and improve the Services.
4. How We Share Your Information
We do not sell your personal information. We may share your information with:
- Payment Networks & Processors: Visa, Mastercard, American Express, Discover, and our acquiring bank partners, as necessary to process transactions and manage your merchant account.
- Service Providers: Third-party vendors who assist with email delivery (Mailgun), SMS verification (Twilio), hosting (AWS), and other operational services, under strict confidentiality agreements.
- Regulatory & Legal: Government agencies, law enforcement, or other parties when required by law, subpoena, or legal process, or to protect our rights and safety.
- Business Transfers: In connection with a merger, acquisition, bankruptcy, or sale of assets, your information may be transferred to the acquiring entity.
5. Data Security
We implement industry-standard security measures to protect your information, including:
- Encryption of sensitive data in transit (TLS/SSL) and at rest.
- Hashed and salted password storage — we never store plaintext passwords.
- Role-based access controls and audit logging.
- PCI DSS compliance for handling cardholder data.
- Regular security assessments and vulnerability testing.
- Multi-factor authentication (SMS and email verification) for account registration.
While we strive to protect your information, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide the Services. After account termination, we may retain certain information as required by law, for dispute resolution, or to enforce our agreements. Specifically:
- Transaction records are retained for a minimum of 7 years as required by financial regulations.
- Enrollment documents are retained for the duration of the merchant relationship plus 5 years.
- Account activity logs are retained for 3 years.
- Pending registration data is automatically deleted after 1 hour if not completed.
7. Cookies & Tracking
We use cookies and similar technologies to:
- Essential Cookies: Maintain your login session and ensure the Portal functions correctly. These cannot be disabled.
- Preference Cookies: Remember your settings and preferences (e.g., theme selection).
- Analytics Cookies: Understand how you use the Services to improve functionality and user experience.
You can control cookies through your browser settings. Disabling essential cookies may prevent you from using certain features of the Services.
8. Your Rights & Choices
Depending on your jurisdiction, you may have the following rights:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal retention requirements.
- Portability: Request your data in a structured, machine-readable format.
- Opt-Out: Unsubscribe from marketing communications at any time.
- Restrict Processing: Request that we limit how we use your information.
To exercise any of these rights, please contact us using the information in Section 13. We will respond to your request within 30 days.
9. SMS & Communications
By providing your phone number and consenting to SMS communications during registration, you agree to receive:
- One-time verification codes for account registration and security.
- Account security alerts (e.g., suspicious login attempts).
- Important service notifications related to your merchant account.
Message and data rates may apply. Message frequency varies. You may opt out of non-essential SMS communications at any time by contacting support. Verification codes required for account security cannot be opted out of while maintaining an active account.
We use Twilio as our SMS service provider. Your phone number is shared with Twilio solely for the purpose of delivering messages. See Twilio's Privacy Policy for more information.
10. Children's Privacy
The Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete that information promptly.
11. International Data Transfers
Your information may be processed and stored in the United States or other countries where our service providers operate. By using the Services, you consent to the transfer of your information to countries that may have different data protection laws than your country of residence.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Portal and updating the "Last updated" date. We encourage you to review this policy periodically. Your continued use of the Services after changes are posted constitutes your acceptance of the revised policy.
